A six story walk-up under contract has a flat roof the buyer has not seen, and the seller's disclosure says only that it was patched. A buyer should check the roof before the inspection period ends, because a roof replacement is one of the largest single costs on a pre-war apartment building. Our due diligence roof survey gives an acquisition team or a lender a measured condition, a remaining-life range and a priced list of work, in time to renegotiate or walk away.
Working Inside the Contract Period
Due diligence runs on a clock. A contract gives a fixed number of days, and the roof is one of many items competing for attention. We schedule the walk in the first week, deliver a preliminary summary within a few days and follow with the full report before the deadline. A phone call with the main findings comes first, so the buyer can start the negotiation while the report is finishing.
Access is the usual delay. The seller or manager must open the roof hatch, provide keys and let us in. We ask for the roof file, any warranty paper and the repair history ahead of time, and we note what was provided and what was not.
Weather affects the schedule. Infrared scans work best on a clear evening after a sunny day, and core cuts need a dry surface. If rain is forecast, we hold the testing and keep the walk, then return for the scan inside the window.
What the Survey Covers
The survey follows a fixed scope. We confirm the roof area, the number of layers, the membrane type, the insulation, the deck and the drainage. We walk the field, edges, penetrations and equipment. We test for moisture with infrared and meter readings, and we confirm with core cuts at selected locations. We check the parapets and coping, the flashing, the hatch and the drains.
The result is a condition rating, a remaining-life estimate with a range, a list of defects with photographs and a cost estimate for each item. An infrared moisture survey is part of every survey, since wet insulation is the largest hidden cost on a flat roof.
Records get the same scrutiny as the roof. We read the permits, the invoices and the warranty file against what we see. A roof that was supposedly replaced eight years ago but shows three layers and an older cap sheet tells a different story from the paperwork, and the report says so. Where a seller cannot produce records, we note it as a gap, because an unknown roof is priced as a risk.
Apartment Buildings
In Longwood, Belmont, Tremont and Bedford Park, pre-war buildings of five and six stories mean a multifamily acquisition usually comes with a flat roof, a parapet wall, a bulkhead and a stair hatch. We pay close attention to the parapet and coping, where leaks hide behind the wall. We check the age of the last re-roof, the number of layers and whether a recent patch sits over wet insulation.
For a buyer in Tremont or a neighboring area, the questions are practical. Will the roof last through the hold period? Is a violation letter likely? What is the cheapest path that does not leave a leak for the first winter? The survey answers each in writing.
Industrial, Cold-Storage and Retail Assets
Hunts Point counts over 800 industrial businesses and 25,000 jobs, and its Cooperative Market holds 700,000 square feet of refrigerated space. A buyer of a cold-storage building or a warehouse needs to know whether moisture has reached the insulation, since a refrigerated space makes wet insulation a refrigeration cost as well as a roof problem.
For retail, such as the long Fordham Road corridor or the 17 acre Gateway Center beside the Major Deegan Expressway, the questions include shared roofs among tenants, equipment loads and who is responsible for repairs. The survey maps each tenant's zone so the lease and the roof can be reconciled.
Remaining Life and Reserve Numbers
A lender or a buyer wants a number. We give a range with a stated basis: the roof will likely need major work in a certain span of years, given the current condition and typical use. We also give an immediate-repair figure for items that should be done now and a reserve figure for the replacement. The numbers feed into the acquisition model and the reserve schedule.
A roof that is in good shape and dry gets a long range. A roof with wet insulation gets a short one and a larger repair line. Where a lender requires a specific format, we adapt the report. The longer plan lives in a capital plan, and the survey is its starting point.
Using the Findings
Investors and REIT acquisition teams use the report in three ways. First, to adjust the price for deferred roof work. Second, to ask the seller to repair specific items before closing. Third, to plan the first-year budget. Sellers sometimes order their own survey to support a price, and we write those the same way, with the same evidence.
The report follows the structure of our condition reports, with extra attention to cost and timing. It is written for readers who were not on the roof, including lenders and investment committees. Ida's record hour of 3.15 inches in September 2021 is why the survey also records how the roof drains and where it ponds.
A buyer can also use the report after closing. The photographs fix the roof's condition on the day of purchase, which matters if a dispute arises with a seller, a tenant or an insurer. The repair list becomes the first-year work plan, in order of urgency.
Price and Paperwork
Price follows the building count, roof size, access and the testing in scope. A single small roof is a short engagement. A portfolio takes days, and we can run walks in parallel. The Department of Buildings publishes the 2022 NYC Construction Codes. Filing questions go there. We list code-driven items separately so the buyer sees what is a repair and what is an upgrade.
Commercial Roofing Questions
How fast can a survey be done?
A single roof can be walked within days of the request, with a call on the main findings right after. The written report follows within the contract period. Large portfolios are sequenced, and we agree the order with the buyer.
Do you need the seller's permission to open the roof?
We need access, which the seller or manager provides. Core cuts and test openings are small and patched the same day. If the seller will not allow them, the report records the limit and the confidence drops.
Can the survey be used for a refinance?
Yes. Lenders want condition, remaining life and reserve numbers, and the report is arranged to give them. We can adjust the format to a lender's checklist.
What if the roof has a warranty?
We read the warranty, note the term and the transfer rules, and flag any condition that might void it. A transferable warranty is an asset, and the report says whether the roof appears to meet its terms.
Will the survey recommend replacement on every roof?
No. Many roofs need repairs and maintenance, and the report says so. A recommendation of replacement comes with the evidence: moisture mapping, core results and the failed details.
Send the Contract Date and the Property Address
Send the property addresses, building types, roof ages you know and the inspection deadline, and ask for a flat-roof walk before anyone writes a scope. We will schedule inside your contract period.
